Once you have created your share certificate template the system can generate share certificates in a few seconds. If you haven't set up your template, make sure you do so before generating the certificates by following the instructions in this article!
The platform does not automatically email generated certificates to the investors, but it will add it to their investor portfolio, so when they log in next they can grab a copy! You can tick a checkbox to notify them as you are issuing the certificate, or you can send them an announcement letting them know it has been uploaded π
Method 1: Issue Holdings Share Certificate
Ensure your Share Certificate settings are set to 'Holdings share certificate by class' under the Company -- Settings.
Go to 'Ownership' in the main menu and click 'Cap table' in the dropdown.
Navigate to the 'Shareholders' tab and to the right hand side of the shareholder you wish to issue a certificate for and click the Issue share certificate icon on the far right as shown below:
In the pop-up window, confirm the Company details are up to date, and the 'Certificate number' and 'Issue date', choose if you want to Notify shareholder of new certificate, ensure the Company signers are added and click Issue certificate.
Method 2: Issue Transactional Share Certificate
Ensure your Share Certificate settings are set to 'Transactional share certificate' under the Company -- Settings.
Go to 'Ownership' in the main menu and click 'Cap table' in the dropdown.
Navigate to the 'Shareholders' tab and click on them to navigate down to their Transaction history.
To the right hand side of the relevant transaction you wish to issue a certificate for and click More and choose Issue share certificate as shown below:
You can also navigate to the relevant transaction under 'Ownership' -- 'Transactions log' and click the Issue share certificate icon on the far right as shown below:
In the pop-up window, confirm the Company details are up to date, and the 'Certificate number' and 'Issue date', choose if you want to Notify shareholder of new certificate, ensure the Company signers are added and click Issue certificate.
Method 3: Issuing Share Certificates in BULK
Ensure your Share Certificate settings are set to 'Holdings share certificate by class' under the Company -- Settings.
Go to 'Ownership' in the main menu and click 'Cap table' in the dropdown.
Navigate to the 'Shareholders' tab and select all the shareholders you wish to issue certificates for.
Click 'Actions' and select 'Issue certificates' from the dropdown menu as shown below:
In the pop-up window, confirm the Company details are up to date, and the 'Certificate number' and 'Issue date', choose if you want to Notify shareholder of new certificate, ensure the Company signers are added and click Issue certificate.
Note for bulk issuing - the Certificate Preview will only show you the first certificate to be issued, not all. You can check out the issued certificates through Documents --> All documents --> Share Certificates after you have finalised the process.
The system will now generate a share certificate, add it to the investors account and save it in the share certificate folder in the documents section. Keep an eye out for the pop up in the bottom left notifying you when it has finished issuing!
