Upload and Share Documents

Cake's Documents area holds your executed agreements, certificates, and legal paperwork in one place, and lets you share them with stakeholders without email. This article covers uploading, finding, organizing, and sharing.

Upload documents

  1. Go to Documents → All documents.

  2. Click New folder first if you want somewhere specific to put them. Optional, but it keeps things tidy.

  3. Click Upload.

  4. Choose how to add your files:

  • Browse files: select individual files from your computer

  • Browse folders: upload a whole folder and keep its structure

You can also drag files straight onto the upload window.

Supported file types: PDF, DOC, DOCX, XLS, XLSX, CSV, PNG, JPG, JPEG, and GIF.

If you upload from inside a folder, the files land in that folder. If you upload from All documents, they land at the top level.

Switch between folder and list views

Use the Folder and List toggle at the top right.

  • Folder shows your folders as cards, with a count of what's inside each one

  • List shows everything as rows with a Modified date

Cake remembers which view you chose and uses it next time.

Find a document

Use the search box at the top of the page. Search works on the All documents page and inside any folder.

Search matches folder and document names. When a result comes from inside a folder, the folder name appears underneath the document name so you know where it lives.

Organize your documents

Every document and folder has its own actions menu. Click Actions on a folder card, or More on a list row.

  • Share: give a stakeholder or a list access

  • Move: send it to a different folder

  • Duplicate: make a copy

  • Rename: change its name

  • Delete: remove it

Folders Cake creates and maintains, such as General, Transfers, and Communications, only offer Share and Duplicate. Signed documents are filed into these automatically, so they cannot be moved, renamed, or deleted.

Share documents

You can share at the folder level or the individual document level.

Share a folder

  1. Click Actions on the folder and select Share.

  2. Search for a stakeholder, or search for a list to share with a group at once.

  3. Select them. Access applies immediately.

Share a single document

  1. Click More on the document and select Share.

  2. Search for a stakeholder or a list.

  3. Select them.

Sharing a folder gives access to everything in it, now and in future. Sharing a single document is the right choice when only specific people should see one file.

Check and remove access

The share window lists everyone who currently has access under Who has access. Someone whose access comes from the folder above shows an Inherited permission tag. Remove that access at the folder level rather than on the individual document.

Inside a folder, a Shared with [number] chip appears next to the folder name. Click it to open the same window.

What happens next

Shared documents appear for the stakeholder in their My Cake portal under Documents. They pick the company first, then see everything that company has shared with them.

From there they can open a document to preview it full screen, or download it. Stakeholders have read-only access. They cannot rename, move, or delete anything.
